Agency management software that keeps the collections record with you

Place accounts with external agencies without losing sight of them. The Agency Management module handles allocation, recall and reconciliation inside Flexys, so every placement, update, payment and return lands in the same record as your in-house activity, and you can show how every customer was treated while their account was with a third party. An optional module on Flexys collections software.

Outsource the accounts, not the evidence

A placed account is still your account

The regulator will treat it that way, and so does Flexys. Every placement, update, hold, recall and agency action is recorded against the customer, in the same record as your in-house activity. A hold raised in Flexys reaches the agency in the next file. A recall carries a reason. When you're asked how a customer was treated during the six months their account sat with a third party, the answer is in one place.

No more running agencies from a spreadsheet

Rules decide which accounts qualify, Flexys places them in bulk on an agreed schedule and splits them across agencies by percentage. Accounts come back automatically when the placement period ends or payments stop, and move on to the next agency in your strategy or to review. Standard file exchange replaces hand-built extracts and manually loaded returns, with no new integration for the agency.

You know what every agency holds

Every allocation, update, return and recall is recorded as it happens, so you have a live view of every account each agency holds and never have to ask. Problems surface for correction before a customer who's already paid, arranged or been placed on hold hears from an agency that shouldn't have them. One customer, one agency: further accounts for a placed customer follow the same route, so nobody is chased twice.

Agencies compared on results, not relationships

Performance per agency and per placement: current volumes and outcomes, with further measures such as cash collected and arrangements honoured configured to your reporting. Move the split when the numbers say so. If you choose, third-party agency staff can work their allocated accounts directly in Flexys through a restricted role you control, seeing only their accounts and the actions you permit, and their queries land in your team's worklist rather than an inbox.

Agency management: common questions

What is debt collection agency management software?

Software that runs the placement lifecycle for the lender, not the agency: deciding which accounts go to which agency, sending and receiving updates, keeping track of what each agency holds and recalling accounts on your terms. In Flexys it's an optional module, so placements sit in the same collections record as your in-house work rather than in a separate system or spreadsheet.

Do agencies need to integrate with Flexys?

No. Data moves as CSV files over SFTP in a standard format. The agency supplies a public key and IP range, and Flexys sets up the connection.

Does Flexys hold the balance while the account is with an agency?

No. Your core system remains the source of balances and payments. Flexys records the placement, every update sent and received, and every action taken.

Can I run more than one agency on the same book?

Yes. A placement can be split across agencies by percentage, and you can run first-placement and second-placement strategies in sequence, with a performance dashboard per agency covering volumes and outcomes.

Does this help with Consumer Duty, Ofgem or Ofwat evidence?

The module records every placement, hold, recall and agency action against the customer, alongside your in-house activity, so the record of how a customer was treated during a placement is in one place. What it demonstrates against your regulator's requirements is a matter for your own compliance assessment; Flexys doesn't provide regulatory advice.
