We are looking for a PMO Coordinator to provide essential administrative and operational support to Project Managers and the Project Management Office.

Role overview

The Project Management Office (PMO) Coordinator provides essential administrative and operational support to Project Managers and the Project Management Office. This includes coordinating project documentation, meeting scheduling, project communications, tracking project progress, managing and scheduling resources, ensuring Flexys governance standards are adhered to and acting as the operational core for project delivery.

Key responsibilities

  • Project Support: Schedule meetings, book rooms, draft agendas, take minutes, and manage communications.
  • Documentation: Maintain project plans, risk logs, issue logs, reports, and other key project documents.
  • Reporting & Tracking: Monitor project progress, update status reports, track timesheets/costs, and maintain compliance with Flexys standards.
  • Resource Coordination: monitor and play an active role in resource allocation, ensure teams have necessary tools and support (e.g. visit reports/workshop templates), monitor and escalate risks and issues.
  • Governance: Apply Flexys governance standards, processes, and tools across projects.
  • Stakeholder Communication: Facilitate clear communication between team members, leadership and internal and external stakeholders.

Essential Skills

  • Strong organisational skills and the ability to multi-task.
  • Keen attention to detail with the confidence to challenge where appropriate.
  • Excellent communication skills, both written & verbal.
  • Proactive and adaptable with the ability to work with autonomy/minimal supervision.
  • Familiarity with project management methodologies and tools.

Role in the PMO

  • Support Project Managers, the PMO and other parts of the business as required.
  • Provide governance support and structure to client onboarding (standard product delivery)
  • Act as a central point for project enquiries and information.
  • Help to maintain consistency and efficiency in project governance, communications and execution.

Success in the role will be measured by

  • Project administrative tasks (meeting schedules, agendas, minutes, actions logs etc) are completed in good time and to a high quality standard
  • Use of appropriate tools to consistently and accurately report project data to PMs, including but not limited to:
  • Resource allocation, capacity and utilisation
  • Project budget (e.g. baseline/YTD)
  • Risks & issues
  • Client onboarding progress
  • Project communications are executed clearly, concisely and in a timely manner
